This policy explains what personal and business information we collect, why, who sees it, and your rights. It is written under the Information Technology Act, 2000, the rules made under it, and the Digital Personal Data Protection Act, 2023 and its rules, as in force from time to time.

In short: we use your information only to do the work you ask for. We do not sell it or use it for advertising. We share it only with the Customs authorities and the other agencies and parties we deal with on your instructions, and with a few service providers who help us run the business, as explained below.

1. Who we are

Multimodal Logistic Systems Private Limited ("Multimodal", "we") decides why and how your information is used. Our contact details are above and our Grievance Officer is named on the Grievance Redressal page.

2. What we collect

  • Contact details: name, company, phone number, email address and WhatsApp number.
  • Shipment and business documents you give us: for example invoices, packing lists, Bill of Lading or Air Waybill, Bill of Entry, Importer-Exporter Code, registrations, certificates, catalogues, and Customs queries or notices.
  • Billing details: the details needed to issue a GST invoice and record payment. This website does not ask for card or bank-account details.
  • Messages you send us by WhatsApp, email, phone or the enquiry buttons on this site.
  • Website information: basic technical data such as pages visited and device type, if cookies or analytics are active on the site.

3. Why we use it

  • To reply to your enquiry and give you a fee and plan.
  • To prepare replies, applications and documents, and to coordinate with agencies for you.
  • To issue invoices and keep accounts and tax records.
  • To meet our legal obligations.
  • To keep the website working and secure.

We ask for your consent when you send us information for a job, and you may withdraw it at any time (see section 8). We also use information where the law allows it without consent, for example to comply with a legal requirement.

4. Who we share it with

We do not sell, rent or trade your information, and we do not share it for marketing. We share it only as needed for your matter or to run our business:

  • Customs authorities: information and documents about your shipment, as the law requires or as needed to reply to a query.
  • Other agencies and parties you ask us to deal with: for example DGFT, port and terminal operators, Customs brokers, shipping lines, airlines, insurers and banks. We share only what that task needs, and only on your instruction.
  • Service providers: for website hosting, email, messaging (such as WhatsApp), file storage and accounting. They may only use the information to provide their service to us.
  • Authorities and courts, where the law or a lawful order requires it.

Some of these providers may store information on servers outside India. We use them only as needed and choose providers that protect information.

5. How long we keep it

We keep information for as long as the matter is active and for the period the law requires us to keep business, tax and Customs records. After that we delete it or make it anonymous, unless the law requires us to keep it longer.

6. How we protect it

We use reasonable security measures. Access is limited to the people who need it for your matter. No system is completely secure, so please do not send documents you do not need to share, and tell us if you prefer a particular way of sending them.

7. Cookies

This website may use cookies to work properly and to understand how it is used. You can accept or decline non-essential cookies in the cookie notice and change your browser settings at any time.

8. Your rights

Under the Digital Personal Data Protection Act, 2023 you may ask us to:

  • tell you what personal data of yours we hold and how we use it;
  • correct or update it;
  • erase it, unless we must keep it by law;
  • withdraw your consent (this does not affect work done before, and we may not be able to continue the service);
  • deal with a complaint through our grievance process, and nominate another person to exercise your rights if you cannot.

Write to info@multimodal.biz with the subject "Privacy request". We may ask you to prove who you are. If you are not satisfied with our reply, you may approach the Data Protection Board of India as the law provides.
